HOURS OF OPERATION
Before School Care 7.00am – 8.45am
After School Care 3.30pm – 6.00pm
Last Day of Terms, 1, 2 & 3 2.30pm – 6.00pm
Last Day of Term 4 1.30pm – 6.00pm
The program is held in the Multi-Purpose Room. Outdoor play is adjacent to this room.
BSC takes 30 children,
ASC takes 45 children,
Curriculum Day takes 45 children.
CCB* applies to all programs
CONDITIONS OF ENROLMENT
Before and After School Care and Curriculum days: A Registration Form must be completed and registration fee ($17.00) will be charged at the beginning of each year, (do not send money with the registration form)
Please be sure to complete the forms fully, as all the information is vital to the quality of care we provide.
All families will need to register with FAO prior to enrolment ( information under CCB details section)
The section relating to your child’s interest skills, behavior etc is worth spending time on as it will assist us greatly in our planning and implementing of activities and experiences for your child.
It is also important and it is your responsibility to notify the Program Coordinator of any change in details.
Children can only be collected and signed out by people who have been nominated, are over 18 years of age, and have signed the registration form.

BEFORE SCHOOL CARE
The B.S.C. Program is very low key and relaxed to ensure the children are refreshed for their school day. There are a range of ‘quiet activities’ available for the children to choose from.
BREAKFAST: is available until 8.15am for all those attending. See Cathy for the latest menu. As breakfast is so important, we allow the children to make choices about what we provide and they may eat as much as they need to get going for the day. We feel that having choices about what they eat will provide a positive experience and hopefully get the children “in the habit” of having breakfast. The staff also has breakfast at the program to set a good example.
Your child must be accompanied to the program and signed in.
Fees for B.S.C.: $10.00 per child per day, including breakfast. (as from 30th January, 2009)
This is the base fee, however CCB will reduce your fees,
AFTER SCHOOL CARE
The program begins with a roll call and afternoon tea. The children then have ‘free time’, where they choose from a range of activities, e.g. sports equipment, board games, craft and collage trolleys or quiet time on the beanbags.
We have 2-3 organized activities per week. They are usually run between 4.30-5.30pm. While children are encouraged to participate in these activities, they are not compulsory.
AFTERNOON TEA: e.g. bread with a variety of spreads, corn chips with salsa, biscuits, cheese, popcorn, celery, carrots, fruit platters. A bowl of apples, oranges or seasonal fruit is available all afternoon along with jugs of chilled water.
Fees for A.S.C.: $15.00 per child per session. (as from 30th January, 2009)

CURRICULUM DAY CARE
Curriculum Day begins in a very relaxed way similar to Before School Care, activities are planned for the children and there may be short excursions depending on the number of children attending. This day is generally fun filled and action packed! Bookings are essential for Curriculum Day, as if numbers are low there will be no program running on this day.
Parents must supply morning tea, lunch and drinks for their children. (unless otherwise advised) Breakfast is available before 8am for a small charge of $1.50. Afternoon snacks are provided at approximately 4pm.
A person must sign children in and out of the program aged over 18 who is nominated on the registration form.
Fees for Curriculum Day: $35.00 per day (as from 30th January, 2009)
This is the base fee, however CCB will reduce this fee.
BOOKINGS AND CANCELLATIONS FOR B.S.C AND A.S.C
Either can make all casual bookings through the office until 3.15pm:
* Phoning the school office before 3.15pm on 9876 3289,
* Faxing the school on 9876 3202,
We are unable to accept verbal messages from the children
After 3.15 pm you can call the Coordinator on 0439 992 434 if you need to book your child in
Cancellations due to illness will not incur full fees, where a valid medical certificate is provided.
Non Cancellation of bookings from any program will incur full fees (less CCB).
BOOKINGS FOR CURRICULUM DAY
All bookings must be made through the Coordinator or at the office 2 weeks prior to the proposed Curriculum Day to allow for planning of the day. If numbers are too low for the program to run on this day you will be notified of the cancellation of the program.
SUMMARY OF OSHCP BOOKINGS AND FEE PAYMENT POLICY
Casual and Emergency Care
· Any casual bookings need to be made before 3.00pm in order to ensure a place is available.
· Fees must be paid for on the day of care.
Permanent and Booked Care
· Families are required to notify the service of any changes to booking arrangements.
· Seven days notice is required for cancellation of full-time booked care or change of booking.
· Notifications of cancellations are to be made before 12 noon on the day of cancellation for After School Care and by 6.00pm the day before for Before School Care, or full fees will apply.
· Families will be charged fees fortnightly in arrears with an invoice issued for the previous two weeks with fees to be paid within 7 days of the date of the invoice
Late Payment/Non Payment of Fees Policy
· All fees for care must be paid by the due date.
· Accounts falling more than 14 days in arrears will be sent a reminder invoice, allowing a further 7 days to make payment. If payment is not made by the due date or if the Principal has not approved an alternative payment arrangement, the family will be advised that the child have been excluded from care until the payment has been made.
· The Kalinda Primary School Council will initiate steps to recover any outstanding monies from families.
CCB (CHILD CARE BENEFIT)
CCB is available as a fee reduction for all the Out of School Hours Programs at Kalinda Primary School
The percentage of assistance you may receive is based on total family income and the number of children in care at school and in other day care or occasional care.
You will need to apply for this at the
FAO (Family Assistance Office phone: 13 61 50
While it is our responsibility to inform you about CCB it is your responsibility to apply for it and/or make any subsequent calls to the FAO as we are not authorized to do this on your behalf.
We do however strongly advise that all families register, as if you wish to do a bulk claim on your tax return, you will be required to have been registered from the date your child uses the program. FAO will not back date according to their policies.
You will need to ask the FAO to send notification of your CCB assessment to each of our services, even though they are all at the same school and address. They will ask for the PRN (Provider Reference Number) for each service.

It is best to nominate both services even if you don’t believe you will need them all. This saves you time, money, and paperwork in the event that you need to use a service unexpectedly.
(Please note that when you receive notification of your CCB assessment that the percentage of CCB stated on this assessment is used as part of an equation to work out your fee reduction. For example, this means that while your assessment notice may say 57.79 % the actual percentage at which your fees are reduced is a little less than this. This is not always explained when you ring the FAO. For further details please see Cathy)
LATE FEES
After 6.00pm late fees will be payable at the following rates

$2.00 per minute up until 6.05pm $15.00 for every 5 minutes or part thereof. |
If you are running late:
1) Phone someone who can collect your child before 6.00pm. You are required to phone the Coordinator if this person is not already authorized on your registration form.
2) Phone the Coordinator if you are late but unable to get someone else to pick up your child, we need to know that you are running late so that the staff and child are not concerned for your safety.
After 6.00pm, the following procedure will apply.
The Coordinator will:
1. Ring the parents/guardians,
2. Ring the emergency contacts if the parents are not available,
3. Organize the emergency contacts to collect the child,
4. Ring the Police if emergency contacts are not available.
EMERGENCIES
In the event of a child becoming ill, parents will be contacted .If
parents are unavailable an emergency contact will be called.
In the event of a child receiving a serious injury or having serious asthma etc, and requires immediate medical attention, an ambulance will be called.
NOTE: Rules and regulations of the Out of School Hours Care Workers Policy prevent staff from transporting children in any event!
SUNSMART REGULATIONS require you children to wear hats and to bring sunscreen everyday in Term 1 and Term 4. We do not provide hats or allow children to share them. We will allow children to return to their classrooms to get their hats only in week 1 of Term 1 & 4. New children to the program will be allowed to return to their classroom to get their hats.
We cannot allow children to go back to classrooms everyday if they forget their hats, as this disrupts the running of activities and we need to ensure that children are safe. It may be an idea to put an extra hat in your child’s bag for them to wear at After School Care.
Please note that the temperature or amounts of visible sun on a particular day have no effect on our Sunsmart regulations, and children without both hat and sunscreen will not be allowed outside for their own protection. We also recommend tops with sleeves for your children particularly for outdoor excursions.
COMPLAINTS & GRIEVANCES
Families are encouraged to discuss with the Coordinator any complaints or concerns they may have about the service or the staff. All complaints are attended to promptly and confidentially.

Further Updates to Information Book
Fees are subject to increases yearly and all families will be informed either in the newsletter or via their statements.
The program is currently undergoing Self Study report for Accreditation for Quality Assurance.
The program is currently looking into Direct Debit as a means for payment of accounts to make the process a whole lot easier for families. As soon as this becomes available all families will be informed.
